Booking, Cancellation and Rescheduling Policy

At Arya Clinic, appointments are reserved specifically for each client. Our booking and cancellation policy helps us manage appointments fairly and gives us the best opportunity to offer cancelled appointments to other clients.
Please read this policy before booking an appointment.
1. Booking fee
A £50 booking fee may be required to secure an appointment, as explained to you at the time of booking.
Where a booking fee applies, your appointment will be confirmed once the required payment has been received.
The booking fee is applied in accordance with the terms explained to you when your appointment is arranged.
2. Cancelling or rescheduling an appointment
If you need to cancel or reschedule an appointment, we ask that you provide at least 48 hours’ notice.
Where the required notice is provided, the booking fee will normally be retained as a credit towards a rescheduled appointment or future appointment, subject to the terms communicated to you at the time of booking.
Any credit arising from a cancelled or rescheduled appointment must normally be used within three months of the original appointment date, unless we agree otherwise.
Where less than 48 hours’ notice is provided, or an appointment is missed without notice, the booking fee may be retained.
3. Missed appointments
If you do not attend an appointment and do not contact us in advance, the appointment will be treated as a missed appointment.
The applicable booking fee may be retained.
Repeated missed appointments may affect our ability to accept future bookings.
4. Late arrival
If you expect to be late, please contact Arya Clinic as soon as possible on 07804 577824.
Arriving more than 15 minutes after your scheduled appointment time may mean that we are unable to provide the service as planned. This may be necessary where there is insufficient time to provide the service appropriately or safely, or where proceeding would affect other scheduled appointments.
Where an appointment cannot proceed because of a late arrival, the booking fee may be retained in accordance with this policy.
5. Unforeseen circumstances
We understand that unexpected circumstances can sometimes make it impossible to attend an appointment at short notice.
If you need to cancel or reschedule because of an unforeseen circumstance, please contact us as soon as possible.
We will consider the circumstances on a case-by-case basis and may, at our discretion, waive or vary the usual cancellation arrangements where appropriate.
6. If Arya Clinic needs to cancel or reschedule
Occasionally, we may need to cancel or reschedule an appointment because of circumstances affecting the clinic, the availability of a practitioner, or other unforeseen circumstances.
If we need to cancel an appointment, we will normally offer you the opportunity to reschedule.
Where a booking fee has been paid and Arya Clinic cancels the appointment, we will provide an appropriate alternative, which may include transferring the booking fee to a new appointment or refunding it where appropriate.
7. Changes to appointments
If you wish to change the type of service or treatment you have booked, please contact us before your appointment.
Some changes may require additional consultation or assessment and may not be possible within the time originally allocated.
8. Your statutory rights
Nothing in this policy is intended to exclude or restrict any rights you may have under applicable consumer protection law.
Where a refund or other remedy is legally required, this policy does not affect that right.
